Project Manager & Executive Assistant

We’re looking for a dynamic and strategic thinker to join our team as a Project Manager & Executive Assistant! This role will be a key support to our Managing Director and CEO, playing a vital part in driving business efficiencies and ensuring our leadership team is focused on the most critical priorities.
As the Project Manager & Executive Assistant, you’ll have the unique opportunity to work across various functions, leading and managing projects that are pivotal to our company’s success. From coordinating strategic business initiatives and optimising organisational procedures to managing high-impact projects and acting as a key thought partner to the leadership team, your work will have a direct impact on Gro-Vida’s growth and profitability.
Key Responsibilities:
Oversee strategic initiatives from conception to execution
Support executives in decision-making, project management, and implementation of key initiatives
Improve processes and coordinate organisational procedures for efficiency and productivity
Act as a liaison between staff and senior leaders to ensure smooth communication and effective project updates
Build and nurture relationships across the company, helping define new operational strategies
Manage the Managing Director’s calendar, schedule, and communications
Assist in preparing and disseminating key communications

Qualifications:
Fluent in English and Portuguese.
Excellent organisational and communication skills.
Ability to work independently as well as part of a team.
Bachelor's degree in Business Administration, Management, or a related field (Master’s degree is a plus).
5+ years of experience in a project management, executive support, or a similar role.
Proven experience in managing complex projects with multiple stakeholders.
Strong background in business operations and administrative support.
Experience working closely with senior leadership or executive teams.
Skills & Competencies:
Exceptional organisational skills with a keen eye for detail.
Excellent communication skills, both written and verbal.
Strong problem-solving abilities and strategic thinking.
Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
Proficient in project management tools and software (e.g., MS Project, Asana, Trello).
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and calendar management tools.
High level of discretion and confidentiality in handling sensitive information.
Strong interpersonal skills with the ability to build relationships at all levels of the organisation.
Ability to work independently, prioritise tasks, and meet deadlines.
